Who is responsible for your information

Kings Heath Business Association (KHBA) is the data controller for personal information collected through this website, except where a form clearly says that another organisation will also receive it. Contact KHBA at khba.birmingham@gmail.com.

Information we collect and why

• Enquiries and profile updates: the contact details, message and business information you submit so authorised KHBA volunteers can respond, manage membership and keep the directory accurate. KHBA relies on its legitimate interests in operating the association and answering requests.
• Membership applications: the information needed to consider and administer your request to join. This is used to take steps at your request before membership and for KHBA's legitimate interests in managing its member network.
• Newsletter requests: your name and email address when you ask to receive updates. KHBA relies on your consent; you can unsubscribe or withdraw that consent at any time.
• Site operation and analytics: hosting providers may process IP addresses and technical logs to deliver and protect the site. Google Analytics loads only after you accept analytics cookies and uses anonymised IP settings without advertising signals.

Providing form information is optional, but KHBA may be unable to answer or process your request without the fields marked as required. KHBA does not sell enquiry details or use them for unrelated marketing, and does not make decisions with legal or similarly significant effects using solely automated processing.

Who receives it

Service providers needed to run the site include Vercel for hosting and automated abuse protection, Sanity for public website content and media, Resend for form-email delivery, and Google Analytics where you consent. The Ampliflow case-study form also sends the information you enter to Ampliflow at hello@ampliflow.ai so its team can respond. KHBA may disclose information where required by law or to establish, exercise or defend legal claims.

Some providers may process information outside the UK. Where UK data protection law requires it, KHBA relies on an adequacy regulation or approved contractual safeguards. Contact KHBA if you want more information about the safeguard relevant to your data.

How long we keep it

KHBA keeps personal information only for as long as it is needed for the reason it was collected, including reasonable follow-up, membership administration, dispute handling and legal or accounting requirements. Newsletter details are kept until you unsubscribe or withdraw consent. Provider security logs and consented analytics data follow the relevant service's configured retention period. KHBA's policy is to remove information when it is no longer needed.

Google Maps and public reviews

Member profiles with a public business address include a keyless Google map that loads as it approaches the screen. Directions, Street View and live-information links open on Google Maps. Some profiles show short excerpts from public 4–5 star Google reviews collected in July 2026. The excerpts are static and are not refreshed automatically, and KHBA does not publish reviewer names. KHBA relies on its legitimate interests in helping visitors understand member businesses; contact KHBA to request correction or removal. Map use is governed by the Google Maps Platform Terms of Service and the Google Privacy Policy.

Your rights

Depending on the circumstances, you may ask KHBA for access to your personal information, correction, deletion, restriction, portability, or to object to its use. Where processing is based on consent, you may withdraw it at any time without affecting earlier lawful processing. To make a request, email khba.birmingham@gmail.com. KHBA may need to confirm your identity before acting on a request.

You have the right to object where KHBA relies on legitimate interests. Tell KHBA what processing concerns you and why.

If you are unhappy with KHBA's response, you can complain to the Information Commissioner's Office.

Cookie choices and changes

No analytics loads until you accept it. Change your choice at any time using COOKIE in the site footer. KHBA will update this notice when its processing changes materially and show the revision date above.
